This policy has been written to meet the requirements of the GDPR regulation to protect privacy.

What is The Smart Coaching Company?
The Smart Coaching Company provides a Coaching, Mentoring, Facilitation and Training service. The owner acts as the Data Controller and the Data Processor.

Explaining the legal bases we rely on.
The basis for processing the data is from a legitimate interest in a way that the Coachee/ Client would reasonably expect as part of the service from the Smart Coaching Company.

When do we collect your personal data?
We collect the data as part of the Coaching Mentoring, Facilitation and Training service.

What sort of personal data do we collect?
Coachee name, email address, phone number, personality/psychometric questionnaires/ Goals/ Coaching Notes/ CVs/360 feedback/ occasional information from the HRD/Line manager/MD.

How and why do we use your personal data?
The data is provided by the Coachee /Client and discussed with the Coachee to understand strengths, areas for development, style, values to gain clarity about self awareness and increase confidence as part of a professional service.

How we protect your personal data.
The data is stored safely using a password protected Laptop, Back up and in written files in a secure filing cabinet.

How long will we keep your personal data?
For the period of the coaching service and the review. The business owner (Data Controller) will agree with the Coachee to keep for future coaching as part of legitimate professional service. E.g. for CV review. Coachees will be able to request the data to be deleted/ destroyed at any point by sending an email. Names and addresses have to be kept on invoices for 7 years to meet HMRC requirements.

Who do we share your personal data with?
The data is stored and not shared with third parties with the only exception of sharing it with the Line Manager with the Coachee present as part of the review process.

Where your personal data may be processed.
The data is used at Client/Coachee meetings and in the business office.

What are your rights over your personal data?
To ask for it to be deleted.
